Tools needed

  • Grok Bot
  • A Twilio number, A2P verified, so it can call and text
  • Calendly
  • A Google Sheet for the leads
  • A webhook from the site form

1.Description

It watches the site form, follows up when someone does not book, and answers calls on a Twilio number. Texts and emails are drafted for you. The phone line can book a call live. A small set of safe replies can send on their own only if you allow it. Everything else waits for your approval.

2.How to use it

  • Catch every website lead. A webhook picks up each new opt-in and alerts you in chat right away.
  • Follow up fast. About 7 minutes after a lead comes in, it checks whether they have booked. If they have not, it drafts the first text and email.
  • Run the text sequence. The first text, a 48-hour follow-up, and a last text. Every draft is approved before it sends. Texts only go out during a set daytime window, and opt-outs are always honored.
  • Handle replies. It alerts you when a lead replies, stops the follow-ups, and suggests a reply by type: booking, pricing, what you do, or not interested.
  • Answer the phone. An AI receptionist on a Twilio number uses Grok Voice, asks a few discovery questions, and books the call live on Calendly, with a confirmation text after.
  • Log everything. Call notes go on the calendar event. Answers go next to the lead in a Google Sheet.
  • Keep you prepped. Before each call you get a lead brief. After a booked call it checks for no-shows. Every evening you get a recap of the day's calls.

3.How to build it

  1. Download the template.
  2. Add it in Grok Bot.
  3. Answer the questions about your offer, your hours, and what it may send on its own.
  4. Connect the Twilio number, Calendly, the Google Sheet, and the site-form webhook when it asks.

4.Tips

  • The number has to be A2P verified before it texts anyone but you.
  • Approve the drafts. Only the small set of safe replies can send on their own, and only if you allow it.
  • When a lead replies, the sequence stops. You take it from there.
